Modifying Pricing

To change pricing, use the modify pricing change order. Modify pricing change orders update the price of one or more active subscription items by changing the quantity, rate, or discount. For fundamental information about change orders, see SuiteBilling Change Orders.

You may need to update an item's rate, quantity, or discount during the subscription term. For example, a client asks for more licenses three months into the subscription term. Or, a client may need a bigger discount during the term because their service was disrupted.

To modify pricing:

  1. Go to Transactions > Subscriptions > Create Subscriptions > List.

  2. Click View for the subscription you want to change.

  3. Click Modify Pricing.

  4. (Optional) To use off-cycle pricing, check the Use Off-Cycle Invoice for Advance Charges preference. For information about off-cycle invoicing, see Off-Cycle Invoicing with Modify Pricing Change Orders.

  5. In the Effective Date field, enter or choose a date.

  6. If necessary, update the Requester field.

  7. In the Modification Type field, choose one of the following options:

    • New or Churn - The analytics revenue impact of the change order is classified as New or Churn.

    • Upsell or Downsell - The analytics revenue impact of the change order is classified as Upsell or Downsell.

    • Ignored - The change order has no analytics revenue impact.

  8. Check the Apply preference for the line you want to change. You can update the discount, price, quantity, uplift, overage price, or overage discount.

  9. If you are modifying the price, click the new price plan and fill in the price plan details.

  10. Review and update any other field values as needed.

  11. Click Save.

When Create Revenue Elements per Subscription Revision is checked and a price changes, the linked modification element won't have a revenue amount. Price changes can be a rate or discount change with no quantity change. Because these types of changes don't affect the performance obligation, you can retrospectively merge them back to the subscription arrangement. You can also prospectively merge the modification element.

Changes that don't start on the previous charge period's start date on the line item require proration. Proration is based on factors such as the charge frequency, prorate by, recurrence start date, and other change orders within the same period.

To go back to the subscription, go to Transactions > Subscriptions > Create Subscriptions > List.

Off-Cycle Invoicing with Modify Pricing Change Orders

For in-advance charges, use the off-cycle invoice with a modify pricing change order to generate an invoice for the charges resulting from the change order. Charges generated with a start date before the next bill cycle date are invoiced. To confirm if you can perform this action, make sure an Off-Cycle Request is still available under the Related Records tab. When processing the off-cycle invoice, check only the Bill Run (Off-Cycle Transactions) preference to avoid processing the invoice as a normal bill run. For details, see Billing Operations. After modifying pricing, you can return to the subscription by going to Transactions > Subscriptions > Create Subscriptions > List.

Pricing Amount Details

On the Subscription record, the Amount Detail column shows information about all charge and transaction lines. The Amount Detail column includes:

  • Price plan details

  • Quantity breakdowns per price tier

  • Proration percentages

  • Discount amounts

  • The delta charge prior to invoiced amounts if there are invoiced amounts for that charge period

Note:

Consider a usage charge in a previously invoiced period with a price modification for the same charge period. When you generate charges, then re-invoice for the delta charge, there aren't values in the pricing amount details if the invoice was generated before version 24.2.

The pricing amount details are a standard column on the invoice.

Prepaid usage drawdown charges have blank amount details because the parent usage charge already includes the amount details.

For prorated charges, the pricing amount detail includes the percentage used to calculate the charge amount.

For delta charges, the pricing amount detail includes the prior invoiced amounts and the total amount calculation. Proration can affect the total invoiced amounts. The total amount calculation might not match because invoiced amounts were individually prorated.

The pricing amount detail shows the pricing section, which is the price plan set up for each tier in the charge. The current charge detail shows the quantity and amount per tier used in the charge. Standard volume pricing has only one tier, because all quantities use that tier.

For commit plus overage charges, the proration percentage is based on the quantity, not the amount.

  • Tier 0-5: $5.00

  • Tier 6-10: $4.00

  • Tier 11-40: $3.00

  • Tier 41 and above: $2.00

Here is a complex delta charge refund example:

Pricing:

  • Tier 0-4: $100.00 Min: $1.00 Max: $20.00

  • Tier 5-6: Fixed Amount $5.00

  • Tier 7-9: $200.00 Max: $20.00

  • Tier 10 and above: $5.00 Min: $50.00

The current charge amount details are as follows:

4 x $100.00 =$400.00 Max: $20.00

2 at Fixed Amount $5.00

3 x $200.00 =$600.00 Max: $20.00

1 x $5.00 =$5.00 Min $50.00

Prorated at 67.7419% for the partial period

Discount amount: $3.22

Previously invoiced charges are:
