Creating a Revision

When an update to wages or conditions needs to occur, you can create a new revision to apply these updated rates.

Employees who are on a classification which you add a new revision for will follow the updated rate as of the specified date. Historical data will still appear with the correct wage rate.

Some situations when you need to create a revision include:

For example, in the US if there is an update to the minimum wage in a particular state, and new wage rates will apply to employees currently set up in the system, you can set these up as new revisions.

In Australia, when increases to the minimum wage are announced before the new financial year, you can add a new revision of wages which are affected to take effect as of the correct date.

Follow the procedure to effectively create a new version of the wage agreement with updated rates.

To create a revision:

  1. Open the wage agreement. See Accessing Wage Agreements.

  2. Click the Revisions subtab.

  3. Click + Create new revision….

    The New Revision wizard opens.

  4. On the Valid period section, complete the fields, then click Next.

    • Start Date – Select the date when the revision will start to apply. If the previous revision has no finish date, WFM will update it to use the start date of the new revision as the previous revision’s finish date.

    • Finish Date – Select the date when the revision will end. If the revision has no known end date, leave blank.

  5. On the Allowances section, update the allowances, then click Next.

  6. On the Penalties section, update the penalties, then click Next.

  7. On the Classifications section, complete the actions, then click Next.

    • Check the classifications that you want to apply to the new revision.

    • Clear the classifications that you want to remove from the revision. For example, you can do this when you are retiring a pay grade, however, ensure any employees currently on these classifications have a new wage added to their profile.

    • (Optional) For each classification and level, enter the percentage of increase for this revision. This will apply an increase to every rate in the classification. If individual conditions change, such as when the weekend penalty increases or decreases at a different percentage, update that on the next section. If a particular classification will still exist, but the rate doesn't change, leave the percentage box blank.

  8. On the Rates section, confirm each classification rate’s changes based on the percentage you entered in the previous section. If you did not enter a percentage in the previous section, update the relevant rates manually. If the rounded rate is different to what is displayed or if the base increase is not in line with the pay conditions, edit the rates here.

  9. In the Confirmation section, review your previous selections.

  10. If you need to update a selection, click Change beside the section name.

  11. Click Create.

At the top of the Wage Agreement page, the note is updated to add information about the revision that you are viewing.

Guidelines for Creating Revisions in Wage Agreements

Refer to the following guidelines.

  • If you are viewing the current revision of the agreement and the new revision you created has not started yet, the note indicates that there is a revision that starts later. To access this revision, click View next revision.

  • If you are viewing a revision that has not started, the note on top of the page will indicate that this is not the current revision of the agreement.

  • When setting employee wages, WFM shows the active agreements and revisions, as of the wage start date you selected.

  • Current employees with classifications you have migrated do not need to have wages updated in their profile. The revision will supersede their wages. You will need to change their rate if their classification was not migrated.

  • If your payroll integration requires classification linking, you will need to link your classifications. For more information, see Workforce Management Integrations.
