Personal Information Access Logs Dataset and Workbook

This page describes how you can use the Personal Information Access Logs dataset and workbook in addition to the Compliance 360 SuiteApp.

Personal Information Access Logs Dataset

The Personal Information Access Logs dataset enables you to view the names of employees who accessed customer data, the date and time of access, and the type of action they performed. This dataset is used in the Personal Information Access Logs workbook.

Personal Information Access Logs Dataset is related to the Activity Log feature. This dataset allows you to make use of all SuiteAnalytics capabilities in NetSuite, in addition to the visualizations provided by the Compliance 360 SuiteApp. For more information about the Activity Log, see Compliance 360 Activity Log.

Dataset Configuration

The Personal Information Access Logs dataset contains fields from the PI Access Log record type. To edit the dataset, see Defining a Dataset.

The following record fields are included in the dataset:

Add the following record fields to connect the PI Access Log to other records:

  • For deleted records, use the Deleted Record record type and the Record ID fields.

  • For System Notes, use the System Note record type and the Record ID fields.

Personal Information Access Logs Workbook

The Personal Information Access Logs workbook is based on the Personal Information Access Logs dataset and allows you to analyze access log data for your records using different visualization options.

The Personal Information Access Logs workbook provides compliance managers with a view of the data access history in their account. The workbook information includes details about what was accessed, who accessed the data, and when they accessed it.

You can create your own workbook using the Personal Information Access Log dataset. For more information, see Custom Workbooks and Datasets.

You can export the data to a CSV file.

The following table describes all available columns in the Personal Information Access Logs workbook:

Column

Column Content

Log Date

Date and time when the data was accessed, displayed in the time zone of the user who accessed the log.

User

Name of the user who accessed the data.

User Role

Role of the user who accessed the data.

IP Address

The IP address used by the user to access the data.

Customer

Customer whose data was accessed by the user.

Interface Type

Shows whether the action was performed through UI or API. When an action is performed through API, the column shows which API was used. Currently, only SuiteScript API is supported.

Note:

The Unknown label appears when NetSuite cannot specify whether UI or API was used to access the data.

Action

Type of action performed. Possible values include:

  • Create

  • View

  • Export

  • Basic Print

  • Advanced Print

  • Saved Search

  • CSV Export

  • PDF Export

  • Full CSV Export

  • Analytics Workbook

  • Analytics Query

  • Report

  • Script Execution

Note:

The Script Execution action implies that customer information was accessed by a server script. For client scripts, this column shows the exact action performed by the script.

Source

Where the customer data was accessed from. In most cases, this column shows the name of the associated record that contains customer information.

Source Details

Additional information about the source, such as a script deployment ID or a template ID in case of printing.

URL

The URL of the accessed data.
