Time-Off Management Overview

The NetSuite Time-Off Management feature enables Human Resources to define and manage time-off plans according to company policies. Then, assign them to employees based on location, department, class, or with NetSuite OneWorld subsidiary.

This includes the ability to:

Employees on a time-off plan need access to the Employee Center so they can submit time-off requests. Managers can review and approve time-off requests from an email or from the Employee Center. For more information, see Time-Off Management for Employees or Managers.

The Time-Off Management feature can be integrated with other features in NetSuite, including Time Tracking, SuitePeople U.S. Payroll, Projects, and Resource Allocations:

Time Tracking and Time-Off Management

You need to enable Time Tracking to use Time-Off Management. If you track employee time and bill it to projects, NetSuite creates time entry records when a time-off request is approved. If you use SuitePeople U.S. Payroll, time off appears in Payroll. You can see these time entry records under the Time Tracking subtab on the employee record. For more information, see Time Tracking.

Note:

If you check the Require Approvals box on Time Records, you can't edit time-off entries from approved requests. You'll find this preference on the Time & Expenses subtab. To let employees make updates, clear the box.

Payroll and Time-Off Management

Time-Off Management and SuitePeople U.S. Payroll work together to make sure employees get the time off they're entitled to and get paid correctly. For more information about how to set up Payroll and Time-Off Management to work together, see Time-Off Management Integration With SuitePeople U.S. Payroll.

Projects and Time-Off Management

You can associate different types of time off to projects and tasks. When a request for project-related time off is approved, the project information appears on the Time Details subtab on the time tracking record.

Project Management, Resource Allocations, and Time-Off Management

When you enable Project Management and Resource Allocations features, they work with Time-Off Management in the following ways:

  • If a project manager assigns someone to a project and they have approved time off that conflicts, NetSuite shows a warning on the allocation record and on the Time-Off Conflicts subtab.

  • If someone already assigned to a project requests time off that conflicts and it's approved, the project manager gets an email with the conflict details.

For more information, see Resource Allocations and Time-Off Management.
