Guidelines for Using SuiteApprovals Email Notifications
Take note of the following guidelines about email notifications:
-
The Advanced PDF/HTML Templates feature allows for records or documents to be attached to email notifications sent to approvers. Alternately, approvers can use the link in the email to view the record in NetSuite.
-
If the record for approval includes an Employee field that has a value, that employee is set as the email sender.
-
The language used in automated email notifications is based on the following:
-
In NetSuite OneWorld accounts, the language set for the submitter’s subsidiary.
-
If you do not have a OneWorld account, the account’s set preferred language.
The same language criteria applies to rerouted or resubmitted records.
Additionally, the email notification for an error related to the tag (a unique string of characters) is sent in English.
-
-
A routed record can be one that is sent to the next approver in the hierarchy following the initial approver’s approval. It can also be one that is resubmitted for approval. For more information, see Resubmitting Records for Approval.
Note:For rerouted or resubmitted records, the email notification’s language will use the submitter’s subsidiary language (for OneWorld accounts) and the preferred language in Single Instance accounts.
-
Concurrency issues may occur when there are multiple next approvers. For example, multiple employees belonging to Group (All) or Group (Any) approver types send back replies almost at the same time. Refer to Administrating the Email Approval Log.
-
If the Email Approval capability is disabled, any approver action using an email approval request is invalidated.
