37 Integrating with Oracle Content and Experience Cloud

Integrate WebCenter Portal with Oracle Content and Experience Cloud to enable users to add, view, manage, and share documents and collaborate in Oracle Content and Experience Cloud securely from a portal.

About the Oracle DOCS Content Manager Task Flow

The Oracle DOCS Content Manager task flow enables you to integrate Oracle Content and Experience Cloud with WebCenter Portal, so that end users can quickly access documents in Oracle Content and Experience Cloud. Users can add, view, manage, share documents and collaborate in Oracle Content and Experience Cloud with robust security within WebCenter Portal.

The Oracle DOCS Content Manager task flow:

Provides convenient and secure access to Oracle Content and Experience Cloud within WebCenter Portal.
Allows collaboration with external non-WebCenter Portal users.

If external non-WebCenter Portal users want to share documents with WebCenter Portal users, they can use Oracle Content and Experience Cloud to allow access to those documents from within a portal in WebCenter Portal.

For example, suppose marketing assets created by design agencies and some partner information need to be shared with WebCenter Portal users. However, the marketing agencies and partners have Oracle Content and Experience Cloud accounts but not WebCenter Portal accounts. If marketing assets and partner documents are shared on Oracle Content and Experience Cloud, WebCenter Portal users can access the documents from a portal that includes the Oracle DOCS Content Manager task flow.

Adding the Oracle DOCS Content Manager Task Flow to a Page

As an application specialist or portal manager, you can add the Oracle DOCS Content Manager task flow to a page, so that the end users can work with documents in Oracle Content and Experience Cloud.

To add the Oracle DOCS Content Manager task flow to a page:

Ensure that your system administrator has added the WebCenter domain in Oracle Content and Experience Cloud and registered Oracle Content and Experience Cloud with WebCenter Portal. For more information, see Integrating with Oracle Content and Experience Cloud in Administering Oracle WebCenter Portal.
Open the page in which you want to add the task flow in the page editor (see Opening a Page in the Page Editor).
Click Add Content to open the resource catalog.
Click Content Management, then Oracle DOCS Content Manager to add the task flow.

Save the page.
Note:

If your system administrator has not configured the default Oracle Content and Experience Cloud URL connection, an error message is reported:

To access Oracle Documents Cloud Service, you must specify a valid DOCS URL in taskflow parameters.

Contact your system administrator to add a default Oracle Content and Experience Cloud connection or customize the URL as described in Customizing the Oracle Content and Experience Cloud URL Connection.
To view your changes, publish the page draft as described in Publishing a Portal Page.

Oracle Content and Experience Cloud is integrated with WebCenter Portal (see Figure 37-2).

Customizing the Oracle Content and Experience Cloud URL Connection

Your system administrator defines a default URL connection. For more information, see Creating a Default Oracle Content and Experience Cloud Connection Using WSLT in Administering Oracle WebCenter Portal. If the Oracle Content and Experience Cloud URL connection is configured as the default connection, WebCenter Portal provides direct access to the Oracle Content and Experience Cloud home directory.

If you want to connect to a different URL, or access your favorite folder or preview a file directly from WebCenter Portal, you can customize the URL connection.

To customize the Oracle Content and Experience Cloud URL connection:

Open the page that contains an Oracle DOCS Content Manager task flow in the page editor (see Opening a Page in the Page Editor).
In the Oracle DOCS Content Manager task flow, click the View Actions menu, then select Parameters to open the Parameters dialog.

Set the parameters as required, then click OK. For descriptions of each parameter, see Oracle DOCS Content Manager Task Flow Parameters.

Click Save.
To view your changes, publish the page draft as described in Publishing a Portal Page.

Working with Oracle DOCS Content Manager Task Flow Properties

The Oracle DOCS Content Manager task flow has associated properties, which users with sufficient privileges can access through the task flow's View Actions menu (Figure 37-5).

The following sections provide information about properties and parameters of the Oracle DOCS Content Manager task flow:

Setting Oracle DOCS Content Manager Task Flow Properties

The View Actions menu (Figure 37-5) in the toolbar of the Oracle DOCS Content Manager task flow in the page editor provides access to the following properties dialogs: Parameters, Access, Display Options, Style, and Content Style.

To set the Oracle DOCS Content Manager task flow component properties:

Open the page containing the Oracle DOCS Content Manager task flow in the page editor (see Opening a Page in the Page Editor).
In the component toolbar, click the View Actions menu and select the properties you want to set:
- Parameters control the default task flow content. For descriptions of each parameter, see Oracle DOCS Content Manager Task Flow Parameters.
- Access settings show or hide the component to specific roles, users, or groups. For more information, see Setting Component Access.
- The Display Options, Style, and Content Style properties affect the appearance and behavior of the task flow for all users. These properties are common to all task flows. For more information, see Modifying Component Properties.
On the View Actions menu, the Add to Catalog action adds the task flow to a resource catalog, and the Delete Oracle DOCS Content Manager action removes the task flow from the page.
Save your changes.

Oracle DOCS Content Manager Task Flow Parameters

Table 37-1 describes the parameters that are unique to the Oracle DOCS Content Manager task flow.

`DOCS Folder Path`	Specifies the relative or absolute path of the document folder. To customize the Oracle Content and Experience Cloud URL connection, specify the folder path that you choose to connect. You can specify absolute path of the folder starting with `http://` . Ensure that you add `/embed/folder/home` in the URL after `/documents` to navigate to the home directory of Oracle Content and Experience Cloud. For example: URL for home directory: `http://<host>:<port>/documents/embed/folder/home` URL for a folder: `http://<host>:<port>/documents/embed/folder/<folder_id>` URL for a document: `http://<host>:<port>/documents/embed/fileview/<file_id>` Where, `<host>:<port>` is the host and port of the Oracle Content and Experience Cloud. Note: If you specify absolute folder path, the specified path is used for the Oracle Content and Experience Cloud connection and does not look for the default connection specified by your system administrator. You can specify the relative path of the file in `DOCS Folder Path`. For example: URL for a folder: `/folder/<folder_id>/<_Foldername>/nameasc` URL for a file: `/fileview/<file_id>/<_filename.ext>` Note: If you specify the relative path, the specified path is relative to the default Oracle Content and Experience Cloud connection specified by your system administrator. If you do not specify `DOCS Folder Path` and prefer to leave it blank, the default connection specified by your system administrator is used for the Oracle Content and Experience Cloud connection.

DOCS Display Theme

Specifies the background theme for the Oracle Content and Experience Cloud.

The available values are:

light
dark
transparent light
transparent dark

DOCS Folder Path

Specifies the relative or absolute path of the document folder.

To customize the Oracle Content and Experience Cloud URL connection, specify the folder path that you choose to connect.

You can specify absolute path of the folder starting with http:// .

Ensure that you add /embed/folder/home in the URL after /documents to navigate to the home directory of Oracle Content and Experience Cloud.

For example:
- URL for home directory: http://<host>:<port>/documents/embed/folder/home
- URL for a folder: http://<host>:<port>/documents/embed/folder/<folder_id>
- URL for a document: http://<host>:<port>/documents/embed/fileview/<file_id>
Where, <host>:<port> is the host and port of the Oracle Content and Experience Cloud.

Note: If you specify absolute folder path, the specified path is used for the Oracle Content and Experience Cloud connection and does not look for the default connection specified by your system administrator.
You can specify the relative path of the file in DOCS Folder Path.

For example:
- URL for a folder: /folder/<folder_id>/<_Foldername>/nameasc
