Participant Groups and record access management

Redwood Platform

Create Participant Groups to define reusable collections of users. A group can contain individual users, a manager's direct reports, or both. Use groups to assign stakeholders across supported records without tying the group to one object or authorization.

From Participant Groups, create, edit, copy, delete, import, export, and search groups. Add individual users or a manager's direct reports, then maintain group membership as business responsibilities change. When a group is assigned to a record, its eligible members receive the authorization selected for that record.

You can use mass actions to add, remove, or replace participants across selected groups. Mass updates for more than one group are submitted as asynchronous jobs.

Business benefit

Participant Groups provide a reusable way to maintain groups of users across Risk Management. They reduce repeated membership maintenance and support consistent group management at scale.

Steps to enable and configure

  1. From the Fusion Applications Newsfeed home page, open Risk Management.
  2. Select Participant Groups.
  3. Click the plus (+) icon, and enter a name for the participant group.
  4. Add participants to the group.
  5. Add additional stakeholders as needed.

By default, you are added as the participant group owner. All Employees is added to the group. This provides employees with view-only access to the participant group from the Participant Groups landing page.

Tips and considerations

  • A Participant Group can contain individual users and direct-report selections, but groups can't be nested within other groups.
  • A standard Participant Group can contain up to 400 users.
  • Search currently supports user name and group name. Searches based on manager, business unit, location, department, and stakeholder name aren't available.
  • When you select all filtered groups, the action applies to all matching groups, including groups not currently displayed on the page.

Access requirements

Participant Groups access is controlled through Stakeholders. Users can view only participant groups for which they have explicit authorization. When the All Employees participant group is assigned, users can view the participant groups in the list. Additional actions, including edit and copy, depend on the user’s authorization and applicable privileges.
