Best Practices When Creating a Sales Order for use with Fulfillable Items with SuiteBilling
Take note of the following best practices when creating a sales order for use with the Fulfillable Items with SuiteBilling SuiteApp:
-
Set the status of the sales order to Pending Approval.
Splitting of subscription line items into multiple lines is only supported for sales orders with a status of Pending Approval.
-
Ensure the quantity of the fulfillable items and subscription items in the sales order are the same.
-
Ensure that when fulfillable items are mapped to the same subscription item, the quantity of the fulfillable items are the same.
-
Only link a subscription item that is mapped to a fulfillable item to one subscription.
-
When you add a fulfillable item that is linked to a subscription item, the subscription item must exist in its related subscription record. For example, if a modem is linked to a modem rental service, the modem rental service must be included in its related internet subscription.
-
If the Split Linked Subscription Items Into Multiple Lines box is checked and the quantity of the subscription items is 50 or more, a map/reduce script splits the subscription items into multiple lines in bulk. Do not approve the sales order when the bulk-processing is still in progress.
Administrators can check the status of the bulk-splitting process in the Subscription Line Splitting event record. For more information, see Viewing the Subscription Line Splitting Event Record.
-
If there are subscription line items that have failed to split during the bulk-splitting of subscription line items, contact your administrator. You may need to repeat the checking of the Split Linked Subscription Items Into Multiple Lines box and save the sales order again.
-
When the Split Linked Subscription Items Into Multiple Lines box is checked and the Distribute Values to Subscription Lines is also checked in the Item Field Mappings page, the additional item information you enter in the item fulfillment record are distributed into its own line in the subscription.
If the Split Linked Subscription Items Into Multiple Lines and Distribute Values to Subscription Lines boxes are not checked, the additional item information you enter for fulfillable items are displayed in a single cell as comma-separated values in the subscription.
-
When the Split Linked Subscription Items Into Multiple Lines box is checked for new sales orders, ensure to update the sales order after entering and saving subscription items and fulfillable items. This is to show the split subscription items into their own lines in the sales order. When you edit and save a sales order, there is no need to update the sales order to split subscription items into their own lines.
-
When the SuiteApp splits subscription line items into multiple lines, the total price for the subscription items is also split equally among the split lines in the subscription. If there are changes to the subscription such as adjustments in pricing, you must do it manually for each line after the splitting of subscription line items is done.
-
It is recommended to use a zero-dollar sales order. The revenue arrangement of sales orders and subscriptions are separate. There is no auto-merging.
