Setting up a Subscription Activation Email Reminder

You can set up an email reminder when there are subscriptions that need to be activated. You can either send the reminder email in bulk or upon fulfillment of the items in the subscription. The setting up of subscription activation email reminder is per subsidiary for OneWorld accounts and per company for non-OneWorld accounts. Only one email notification is sent per subscription. The email is only sent when the status of the subscription is pending activation and the status of the fulfillable items are shipped as shown in the item fulfillment record. The email contains a link to the subscription that needs activation.

To set up a subscription activation email reminder:

  1. Open the company or subsidiary record, depending on your account.

    • For OneWorld accounts:

      1. Go to Setup > Company > Classifications > Subsidiaries.

      2. Click Edit next to the subsidiary where you want to set up the activation email reminder.

    • For non-OneWorld accounts:

      Go to Setup > Company > Setup Tasks > Company Information.

  2. Check the Send Subscription Activation Reminder Email in Bulk box if you want to send the subscription activation email reminder in bulk.

    This option uses the Bulk Subscription Activation Reminder map/reduce script that you can run manually or at a scheduled time. The Bulk Subscription Activation Reminder script looks for subscriptions that are pending activation with fulfillable items that are fully fulfilled. An email is sent for every subscription. For example, if the Bulk Subscription Activation Reminder script found five subscriptions that fit the criteria for sending the email reminder, five emails are sent. Until the subscription has not been activated, an email is sent at every run of the script.

  3. Check the Send Subscription Activation Reminder Email Upon Fulfillment box if you want to send the subscription activation email reminder only upon fulfillment of the items in the subscription.

    This option sends the email reminder every time fulfillable items in a subscription are fully fulfilled and shipped to the customer as recorded in the item fulfillment record.

    You can check both the Send Subscription Activation Reminder Email in Bulk and Send Subscription Activation Reminder Email Upon Fulfillment boxes.

  4. In the Subscription Activation Reminder Email Recipient field, select the employees whom to send the subscription activation email reminder.

    To select multiple employees, hold down the Ctrl key and while selecting the employee records.

  5. In the Subscription Activation Reminder Email Template field, select a template for the subscription activation email reminder.

  6. Click Save.
