Viewing the report structure
The Report Structure feature enables you to show the structure of any report created by the Country-Specific Reports SuiteApp. Instead of the report itself, you will display the overview of all variables that this report contains, as well as the accounts used by these variables, their numbers, and other additional information. You can also apply several filters to this overview to filter out variables using a certain account or accounts of a certain type. The main purpose of the Report Structure feature is to help you to identify potential trouble spots in your reports (for example, accounts not included in any of the report variables or accounts included multiple times).
To display the structure of a report:
-
Go to Reports > Financial > Country-Specific Reports.
-
From the Reports dropdown list, select a report which structure you would like to view.
-
Click the View Structure button.
In the Report Structure dashboard, you can use several buttons to perform basic actions:
-
Refresh -Always click this button after adjusting the filters. This will apply the filters and change the content of the report structure overview (variables, accounts, and so on) accordingly.
-
Clear Filters -Click this button to reset all filters that you have previously adjusted (for example, if you want to start adjusting them anew).
-
Show Report -Currently, you are only viewing the structure of the report that you have selected. You can click this button to display the report itself.
-
Select Report -Click this button to go back to the Country-Specific Reports dashboard. In this dashboard, you can select another report to display (or to view its structure).
Available filters and additional fields
The View Data section and the Filter section contain several fields adjusting the appearance of the report structure overview and several filters applicable to this overview. Note that after adjusting any of these fields, you must also click the Refresh button for the changes to take effect.
The View Data section contains the following field:
-
Show variable Cell ID - The Cell ID is a unique identifier of each variable in a report. It assigns the variable to a particular cell of your report template. If you want to see each variable’s Cell ID in the report structure overview, check this box and click the Refresh button. This will add the new Variable Cell ID column to the overview. To learn more about variables in the Country-Specific Reports SuiteApp and their Cell IDs, see Variables in Country-Specific Reports.
The Filters section contains the following filters:
-
Subsidiary - Use this filter to select a subsidiary; in the report structure overview, you will only see accounts relevant to this subsidiary. By default, the Parent Company is selected (or the highest subsidiary, if you don’t have the permission to access the Parent Company).
-
Account number/prefix -Use this field to filter out accounts with a specific number or prefix and display them in the report structure overview. This way, you can quickly determine whether a certain account is included in this report or not. Note that the prefix always represents the first digits of an account number. For example, if you enter 1000 into this field, you will filter out an account with the number 1000 (exact match) but also accounts 10000, 1000123, 1000a, and so on.
-
Account type - Use this list to select one or multiple account types that you want to filter out and view. Account types that are not selected will not be displayed. This enables you to check whether an allocated account is relevant to this report or not (as some account types are not used by certain reports). If you want to select more than one account type, click their names while holding Ctrl key (or Cmd key on Mac keyboards). If you don’t select any account type from this list, all account types will be automatically displayed. To learn more about the existing account types, see Account Types and Intercompany Transactions.
Report structure overview
This section displays variables that this report contains, as well as the accounts used by these variables, their numbers, and other additional information. To make the overview more specific (for example, to display only variables using account with a certain number or accounts of a certain type), use filters available in the Filters section above.
Accounts not included in any of the report variables are displayed in the Not included in variable section on the bottom of the overview.
The report structure overview is split into the following columns:
-
Variable title -Displays the name of each variable. Click it to access the variable record (see Variables in Country-Specific Reports).
-
Variable Cell ID (Optional) – Displays the Cell ID of each variable. The Cell ID is a unique identifier of each variable in a report. To add this column to the report structure overview, check the Show variable Cell ID box in the View Data section and click the Refresh button.
-
Account number in report context -If this report uses an accounting context, this column displays the number of each account in this context. If no accounting context is in use, this number remains the same as the standard account number. For more information, see Accounting Contexts.
-
Account number -Displays the number of each account (from the Chart of Accounts).
-
Account name - Displays the name of each account (from the Chart of Accounts). Click this name to view the account’s details.
-
Account type -Displays the type of each account (for example, Equity or Expense). To learn more about the existing account types, see Account Types and Intercompany Transactions.
-
Inactive account -Displays if the account is inactive (Yes) or active (No).
-
Condition applied – Displays the variable filter (condition) applied to the account or remains empty if no condition is used. Conditions can be applied to accounts if you want certain values to be added or subtracted only under specific conditions (specific account balance). The following types are available: Less than, Less than or equal to, Greater than, Greater than or equal to.
