Email Notifications
You can configure email notifications to receive timely alerts about threshold breaches and reminders for activity log data backups. These notifications enable you to respond swiftly to potential risks and minimize the need for manual monitoring. There are two types of notifications available:
Creating a KPI Threshold Breach Email Notification
Configuring email notifications ensures you receive an alert whenever a Key Performance Indicator (KPI) exceeds the defined threshold.
To set the threshold, go to Compliance 360 > Settings > General.
To create a Threshold Breach Email Notification:

Go to Settings > Email Notifications > Create Email Notification.

In the Notification Type field, select Threshold Breach.

From the Activity Type dropdown list, select a KPI indicator from one of the following options:

Total Customers Record Printed
-
Total Customers Record Edited
-
Total Customers Record Searched
-
Total Customers Record Exported
-
Total Customers Record Deleted
-
New User Access Login
-

In the Frequency field, select how often the system should send the email notifications:

Daily - An email notification is sent daily when the threshold is breached.

Weekly - An email notification is sent at the start of each week.
Note:The start day of the week will be determined based on the user’s selected preferences.

From the Trigger list, choose how you want to receive email notifications:

Once Per Frequency - Receive one email for each selected frequency.

Every Breach - Receive an email each time the KPI crosses the threshold.

Check the Notify Me box to receive the email notifications. If this box is cleared, only the email addresses entered in the Notify Others field will receive email notifications.

In the Notify Others field, enter the email addresses of additional recipients, separated by commas (,).
Note:You can enter up to 9 email addresses in the Notify Others field.

Use the Inactive toggle button to activate or deactivate the notification. Notifications are active by default.

Review the summary of your settings before scheduling.

Click Schedule to schedule the notification.
Creating an Activity Log Data Backup Reminder Email Notification
Set up automatic reminders to regularly back up your activity log data. The system retains only the most recent 12 months of activity log entries and deletes older data automatically. Data backup ensures you do not lose any important information.
To create an Activity Log Data Backup Reminder Email Notification:

Go to Settings > Email Notifications > Create Email Notification.

In the Notification Type field, select Activity Log Data Backup Reminder.

In the Frequency field, select how often the system should send the email notifications:

Weekly - The system sends a notification each week on the day you select.
Note:The start day of the week will be determined based on the user’s selected preferences.

Fortnight - The system sends a notification every two weeks on the dates you select.

From the Days list, select the specific days:
-
Weekly - Select Monday, Tuesday, Wednesday, Thursday, Friday, Saturday, or Sunday.

Fortnight - Select 1st and 15th or 14th and 28th.

Check the Notify Me box to receive the email notification. If this box is cleared, only the email addresses entered in the Notify Others field will receive the email notifications.
