Automatch Settings in WFM

Using automatch can save you time when doing shift approvals.

You can configure the conditions WFM will use to auto-approve timesheet shifts to scheduled shifts.

To access the settings, go to Shifts > Weekly > Automatch.

After each setting change, you can test them without needing to refresh the page. To test, run the automatch from the Weekly view on your desired shifts.

Guidelines When Using Automatch

Note the following guidelines:

  • Automatch cannot be used with timesheet shifts that have additional time fields. When you run automatch, these shifts appear as exceptions. You must manually review and approve them. For more information, see Configuring WFM Time Fields for NetSuite.

  • When configuring automatch, run un-approve shifts, make changes to Automatch, and then run automatch on the same set of shifts until you are happy with your configuration.

  • While configuring automatch, avoid testing on real data. If you are using real data, ensure any users with approval rights at that location are aware so that employees do not have shifts approved incorrectly.

  • When configuring, ensure that you check your desired settings. Only checked options are enabled even if a cleared option contain values in them.

Automatch Options

  • Default Grace Period – Allows you to specify the default value for all below parameters. You can override this on each setting below.

  • Round shifts to a multiple of – Specifies the rounding to a multiple of minutes. Times will round to the closest multiple.

    For example, if the amount is set to 15 minutes, and someone with a shift start at 9 am punches in at 9:08 am, the approved shift start will round to 9:15 am. However, if they punched in at 9:07 am, their approved shift will be rounded to 9 am.

Shift

  • Length is within – Allows you to enter a time in minutes where the total length of the shift can vary from the scheduled shift.

  • Start is less or equal before scheduled – Allows you to enter the minutes an shift can start before the start time of the scheduled shift. You may also round the time to the scheduled start time.

  • Start is less or equal after scheduled – Allows you to enter the minutes an shift can start after the start time of the scheduled shift. You ,may also round the time to the scheduled start time.

  • Finish is less or equal before scheduled – Allows you to enter the minutes a shift can finish before the end time of the scheduled shift. You may also round the time to the scheduled finished time.

  • Finish is less or equal after scheduled – Allows you to enter the minutes a shift can finish after the end time of the scheduled shift. You may also round the time to the scheduled finished time.

Breaks

  • Start is within X minutes of Scheduled – Automatch will only approve timesheets for employees if their break start time is within X minutes of their scheduled break start time.

    For example, if you check the box and set the minutes to 5. The employee has a scheduled break time of 12:00 pm to 12:30 pm. The employee starts their break at 12:07. WFM will not approve this timesheet because it falls outside of the automatch setting.

  • Length is within X minutes of Scheduled – Automatch will only approve timesheets for employees if their break length is within X minutes of their scheduled break length.

    For example, if you check this box and set the minutes to 5. The employee has a scheduled break time of 12:00 pm to 12:30 pm. The employee starts their break at 12:00 pm but does not punch back in from their break until 12:37 pm. WFM will not approve this timesheet because it falls outside of the automatch setting.

  • Length is at least the same as Scheduled – Automatch will only approve timesheets for the employee if the break length is equal to or longer than their schedule break length.

    For example, you check this box, and the employee has a scheduled break time from 12:00 pm to 12:30 pm. The employee starts their break at 12:00 pm but punches back in from their break at 12:25 pm. WFM will not approve this timesheet because it falls outside of the automatch setting.

You can use one, or a combination of, these settings to ensure employees are taking their breaks as expected.

Punch Event Settings

  • Only punches with confirmed visual verification – Automatch will only approve timesheets if the punch has been visually verified.

    Note:

    This setting will only appear if you have the Visual Verification package on your account.

  • Only punches with no notes – Automatch will only approve timesheets that do not have any notes on them.
