Setting Up NetSuite Analytics Warehouse

After the NetSuite Analytics Warehouse feature is enabled in your account, you must complete the setup by Adding Users to NetSuite Analytics Warehouse and Setting Up the Data Transfer.

Adding Users to NetSuite Analytics Warehouse

Adding users to your account enables them to work with data transferred to NetSuite Analytics Warehouse. You can add NetSuite users and non-NetSuite users.

To add NetSuite users to your NetSuite Analytics Warehouse account:

  1. Go to Setup > Integration > Configuration.

    Note:

    The configuration page might take some time to load. If you get an error message, ensure the NetSuite Data Warehouse integration record is enabled. For more information, see Enabling NetSuite Analytics Warehouse.

  2. Click NSAW User Management.

  3. At the bottom of the page, click Add NetSuite Users.

  4. Select the users you want to add and click Apply.

To add an external user to your NetSuite Analytics Warehouse account:

  1. Go to Setup > Integration > NetSuite Analytics Warehouse > Configuration.

    Note:

    The configuration page might take some time to load. If you get an error message, ensure the NetSuite Data Warehouse integration record is enabled. For more information, see Enabling NetSuite Analytics Warehouse.

  2. Click NSAW User Management.

  3. At the bottom of the page, click Add External User.

  4. Enter the first name, last name, and email address of the user. Then click OK.

You need to specify a role for every user you add to the NetSuite Analytics Warehouse account. To do so, select a role from the NSAW Role list. The following roles are available:

  • NSAW Administrator – Lets you perform all administrator related activities, manage data components, and create data visualizations in the Analytics Warehouse.

  • NSAW Author – Lets you manage data components and create data visualizations in the Analytics Warehouse.

  • NSAW Viewer – Lets you view data components and visualizations in the Analytics Warehouse.

Note:

There must be a minimum of two NetSuite users with the NSAW Administrator role.

All new users, whether they're NetSuite or external, get an email notification asking them to complete their account activation and set a password. Use these credentials to log in to the Analytics Warehouse.

Setting Up the Data Transfer

To start transferring data to the Analytics Warehouse, you need to go to the data transfer setup page and select the functional areas to include. Your NetSuite data is grouped into predefined functional areas. To learn about the record types and fields available in the NetSuite2.com data source, see Record Types and Fields.

To set up the data transfer:

  1. Go to Setup > Integration > Configuration.

    Note:

    The configuration page might take some time to load. If you get an error message, ensure the NetSuite Data Warehouse integration record is enabled. For more information, see Enabling NetSuite Analytics Warehouse.

  2. Click NSAW Data Transfer Setup to go to the data transfer setup page.

  3. In the Initial Extract Date field, select the date from when you want your data transferred.

  4. In the Subsidiary field, select the subsidiary for which you want to transfer the data.

  5. Select the functional areas to include in the transfer.

Data from the selected functional areas is refreshed automatically every 24 hours. The Last Transfer column shows the date and time of the first automatic data transfer, or the last manual data transfer. You can see the time remaining before the next automatic data transfer above the functional area list.

The first data transfer may take some time. The subsequent data transfers happen incrementally every day.

You don't have to wait until the scheduled data transfer. If you want the latest data, click Transfer Data in the Transfer Data column to manually start a transfer for a specific functional area. You can see the last transfer date for each functional area in the Status column.

Viewing the Data Transfer Audit Log

You can use the NetSuite Analytics Warehouse Customization History page as a data transfer audit log to check and track all the data transfer operations and their statuses. It shows the operation name, status, and a time stamp for when each operation occurred.

Note:

You must be assigned the NSAW Administrator role to view the Data Transfer Audit Log page.

To view the data transfer audit log:

  1. Go to Setup > Integration > Configuration.

    Note:

    The configuration page might take some time to load. If you get an error message, ensure the NetSuite Data Warehouse integration record is enabled. For more information, see Enabling NetSuite Analytics Warehouse.

  2. Click NSAW Data Transfer Setup to go to the data transfer setup page.

  3. Click the Request History button.

Removing Personal Information (PI) from NetSuite Analytics Warehouse

To keep your data private and secure, it's important to remove PI from both NetSuite and the Analytics Warehouse when required. To do so, remove the PI from your NetSuite fields, then reload the data in the corresponding functional areas and custom fields. This action ensures that the PI is fully removed from both systems. Resetting NetSuite Analytics Warehouse Transfer Credentials

To keep your data safe, you can reset your data transfer credentials anytime. When you reset your transfer credentials, new tokens are created and sent to NetSuite Analytics Warehouse automatically. Allow a few minutes for your transfer settings to finish configuring. While your new transfer credentials are being set up, you can't access the Analytics Warehouse configuration.

To reset your transfer credentials on the configuration page, click Reset Transfer Credentials. By default, transfer credentials are assigned to the user who enabled NetSuite Analytics Warehouse. If you want to give the transfer credentials to a different user, choose the user from the dropdown list and click Reset.

Note:

You can only give data transfer credentials to a user who is assigned the Data Warehouse Integrator role.

Resolving the Invalid Credentials Error

You always need a user with the Data Warehouse Integrator role and transfer credentials. If you receive an invalid credentials error email, you need to reset the transfer credentials. The data transfer to the Analytics Warehouse will pause until you add a valid user.

Note:

You must be assigned the NSAW Administrator role to complete these steps.

To resolve the error:

  1. Check the User account for data transfer credentials list, and ensure the list is not empty.

  2. Select the user from the list and click Reset Transfer Credentials.

  3. Go to the Analytics Warehouse Administration Console page. For more information, see NetSuite Analytics Warehouse Basics.

  4. Click Data Configuration, and then, Pipeline Settings.

  5. Change the Data Pipeline Status switch to Enabled.

Updating the Notification Recipient Email

The notification recipient gets emails about your Analytics Warehouse account, such as service availability. To change the notification recipient email address, choose a user from the dropdown list and click Update NSAW notification recipient email.

You can use email addresses that aren't linked to NetSuite users. To do this, click the NSAW notification recipient email field, and then the clear icon images/clear.png. After clearing the field, type the email address you want. You can also add multiple emails as notification recipients by entering an email distribution list.
