Managing Wages for WFM Employees

Setting and editing the wages for employees is a crucial part of workforce management. You set an employee's wages from their employee details page. Note that an employee can only have one active wage.

First of all, select an employee for whom you want to create or edit a wage. Go to Setup > Employees > List and click the employee. On the employee profile, click Wages.

The Wages tab should display at least one wage based upon the employee's base rate set in their employee record in NetSuite.

An employee’s base rate will sync automatically from the employee record in NetSuite. Editing or adding wages directly into WFM is typically only used if you have employees that are paid different rates dependent on the Location and/or Job that they are working.

Employment Details

Select an employment status from the dropdown list: Full-time, Part-time, Casual, and Contract. If Casual is selected, the next option will be automatically filled in with "Wages".

In the Wage type list, select Salary or Wages. The choice that you make here will affect how the employee's shift details will appear.

Cost Calculations/Rate

The cost calculation/rate section is the most important part of setting a wage as this setting controls how much an employee earns in an hour, week, and year.

You will first need to select the calculation type. There are six options:

  • Agreement

  • Salary

  • Fixed hourly rate

  • Base rate with conditions applied

  • Base rate with location overrides

  • Base rate with only job overrides

Agreements

Agreements are used if you have Wage Agreements set up within Workforce Management. Select Agreement then select the Classification from the drop-down list. This feature is currently only available through the help of support.

Fixed hourly rate

The hourly Choice is an easy straight forward selection, all you have to do is choose the hourly rate of the employee.

Salary

If a employee has an annual salary, fill in the Annual salary field. The Monthly salary and Weekly salary fields are updated automatically.

Next, enter how many Hours per week they work. The Salary hourly rate is updated automatically.

Salary overtime/public holiday

If you pay your salaried employees overtime or higher public holiday rates, enter the rates here.

Wages - Overtime

If employees are paid the same rate regardless of how many hours they work, then choosing a fixed hourly rate means that overtime and any other wage conditions will not apply to the employee.

Base rate with conditions applied

This selection will pay employees their base rate and apply any wage conditions that have been configured in your account. These conditions might include overtime, shift differentials, worked holiday premiums, and so on.

Base rate with location

Use this selection if an employee is paid different rates when working at different locations. Select the Location, the Job and enter the rate. Click Create New to add another row.

Base rate with only job

This selection is to be used if employees are paid different rates for working different jobs, but the rate does not vary from location to location. Click Create New to add another row and select the job and associated rate. If an employee works a job that does not have a designated job rate, it will default to their Hourly Rate.

Classification is a feature that is currently only available through the help of support.

Hours of Work

Hours of work is how employee hours-per-week validation is managed and maintained. All of these values are based on one schedule week.

Here are the hours of work settings:

  • Target hours - By default, this is set to 38. These are the target number of hours this employee would usually work each week. Employees being scheduled at or exceeding target hours will notify the user scheduling when employees have reached their target hours. However, it still allows the scheduling of additional hours. This validation occurs within schedule mode.

  • Minimum hours - By default, this is set to 0. If an employee has minimum hours set, the schedule will not be able to be published until the minimum hours are reached for the employee. This validation will occur when trying to Publish or Print the week's schedule.

  • Maximum hours - By default, this is set to 168 (since this is how many hours there are in a week). You will not be able to schedule an employee on for more than the maximum hours. This validation will occur when trying to Publish or print the week's schedule.

  • Salary splits - By default, this is checked. This only appears for employees on a salary. If the employee works across multiple locations, WFM will automatically assign the employee wages across all locations worked that week, evenly distributed. If this box is cleared, you are able to send percentages of the salary to different locations this employee is available to work at. You can also assign 100 percent of the salary to one location, no matter how many hours are worked at other locations.
