Identifying Exceptions
Exception Management (EM) is currently not available to all customers. The Exception Management feature depends on sufficient data volume and model training readiness. If you can't access Exception Management, contact your NetSuite Account Manager for guidance and next steps.
Exceptions are tracked and displayed on the Exception Management page at Lists > Accounting > Exception Management.
Exceptions are organized into two subtabs: Transaction Errors (Incorrect Amount, Incorrect Account, and Vendor Information Change), grouped by transaction and business flow, and Expected Transactions. The Expected Transactions subtab includes missing transaction exceptions and predicted transactions expected in the next few days of the current accounting period. Each subtab includes KPIs for items pending review and the potential financial impact of unresolved items. The Transaction Errors subtab has a sensitivity slider with 10 settings, from 10% to 100%. The default 10% setting shows the smallest set of highest-priority exceptions. Move the slider right to show more exceptions within the current filters.
The Period filter defaults to the current and previous accounting periods when both periods are open. If the previous period is closed, only the current open period is selected. If the current and previous periods are closed, the filter selects the next open period. Manual filter selections override these defaults. Filters include Select All and show only values associated with existing exceptions. Use the Has Memo filter to show exceptions that include memo text on the related transaction line or transaction header. Use the Favorites filter to show exceptions you marked as favorites from the list or details drawer.
The Expected Transactions subtab includes separate Type and Status columns. Reopened items keep their original Type and show Reopen in the Status column.
EM evaluates transactions created or edited in the last hour and surfaces likely issues for review. When you click View Details on an exception, EM displays:
-
An explanation of why the transaction was flagged.
-
A short list of similar, error-free transactions for comparison. For missing transaction exceptions, Past Transactions can show up to eight similar past transactions.
-
Quick actions to Review Transaction, mark Resolved or No Action Needed, and Reopen if required.
-
Memo text, if available on the related transaction line or transaction header.
-
For missing transactions, the Create Transaction option appears when the transaction type supports direct creation. For transaction types that cannot be manually created, EM directs you to the appropriate process page.
EM includes the following item types:
-
Incorrect Amount: Flags lines where the posted amount deviates from your organization's learned patterns for similar transactions, for example, by item, account, entity, or period.
-
Incorrect Account: Identifies lines coded to unexpected accounts based on prior posting behavior. EM shows detected and expected account details and links to similar transactions.
-
Vendor Information Change: Monitors high-risk changes to vendor data, including changes to Legal Name and payee name (Print on Check As) related to recent payments and vendor bills.
-
Missing Transactions and Expected Transactions: Learns recurring patterns and predicts expected activity. Expected transactions are predicted to occur in the next few days of the current accounting period. When an expected item is not posted by the due date, EM creates a missing transaction exception with details. For supported transaction types, you can use Create Transaction to create the missing activity.
