System Notes for Changes Made in Text Type Fields

Changes made to records or fields, including those made to custom fields, are normally tracked through System Notes.

Text type custom fields permit users to enter alphanumeric characters. Text type fields include:

Of these custom field types, system notes record the exact changes in values for the Text Area and Free-Form Text types only. The recorded values are taken from the transaction to which the field was applied. This is true only if the Store Value setting is checked for the field. When Store Value is not checked, no changes are recorded in the system notes. For the Long Text and Rich Text types, the only change recorded in the system notes is the number of characters that were entered.

On the System Notes subtab of a transaction, the line related to the custom field shows the old and new values after the user edits the transaction. The following table provides examples of what this could look like:

To track changes to custom field values, use the Text Area and Free-Form Text custom field types. System notes for these two custom field types provide details about the previous value entered in the field and the new value entered in the field.
