Configure the Oracle HCM Outbound Integration to EverCheck

You must configure the Oracle HCM Outbound Integration to EverCheck integration flow to successfully import employee details of Oracle HCM Cloud in bulk that are verified in EverCheck.

Before configuring the Oracle HCM Outbound Integration to EverCheck integration flow, ensure that you have extracted employee data from Oracle HCM Cloud in bulk using the HCM Extract tool. For more information about the tool, refer to the HCM Extracts guide.

You can extract the following employee information:
  • Basic details of the employee such as Person Number, First Name, Last Name, Person Email Address, Phone Number, and Home Address.
  • Any licenses, certifications and registrations associated to the job assigned to the employee.
  • Any licenses, certifications and registrations associated to the position assigned to the employee.

The following high-level steps are required to configure the Oracle HCM Outbound Integration to EverCheck integration flow:

  1. Configure the Oracle HCM Cloud Instance Extract
  2. Submit an Extract
  3. Schedule Extract Submission
  4. Configure the Integration Variables
  5. Change the Extract Configuration
  6. Setup Flex Fields within EverCheck

Configure the Oracle HCM Cloud Instance Extract

Upload the pre-built extract to the Oracle HCM Cloud instance, update it (if required) and configure it. This is a recommended step.

  1. Log in to the Oracle HCM Cloud instance.
  2. Navigate to Manage HCM Extract Definitions.

    From the Fusion Navigation menu, and then from My Client Groups, select the Data Exchange application. Under HCM Extracts, select Extract Definitions or Setup and Maintenance, and then select Manage HCM Extract Definitions.

  3. On the Extract Definitions page, click Import.
  4. Click OK, then click OK again.
  5. Next click Edit to the newly created extracted.
  6. Select Extract Execution Tree and click Compile All Formula.
  7. Refresh the screen and make sure all the fast formula status show passed status.
  8. Click Export XML Schema to download the .xsd file.
  9. Click Save and Close.

Submit an Extract

You have to submit the HCM Extract in order to configure the Oracle HCM Outbound Integration to EverCheck integration flow in Oracle Integration. The integration will use this submitted extraction for fetching data while running.

  1. From the Fusion Navigation menu, and then from My Client Groups, select the Data Exchange application. Under HCM Extracts, select Submit Extract.
  2. Search for the extract with its name.
  3. Click the extract.
  4. Enter the extract instance name and select the effective date.

Schedule Extract Submission

You must schedule an extract submission to fetch the new data per the required frequency for running the Oracle HCM Outbound Integration to EverCheck integration flow in Oracle Integration.

  1. From the Fusion Navigation menu, and then from My Client Groups, select the Data Exchange application. Under HCM Extracts, select Submit Extract.
  2. Search for the extract with its name.
  3. Click the extract.
  4. Enter the extract instance name and effective date.
  5. Select the required frequency for extract submission, and select the start and end date.

    Note:

    Although you can set any value as minimum frequency, the best practice is to use the extractsubmission frequency as greater than or equal to daily. The recommended value is daily. This should be agreed with your EverCheck implementation specialist.
  6. Click Submit.

Configure the Integration Variables

Update the integration variables based on your environment and business rules.

  1. In the Integration section of the project workspace in Oracle Integration, click the Oracle HCM Outbound Integration to EverCheck integration.
  2. Click the AssignGlobalParams Assign action, and configure the following:
    Field Information to Enter
    Constant_OutputFileName

    By default, EverCheck requires the file to have the following naming convention for Oracle HCM Outbound records: nnn_CustomEmployee.csv. Here, nnn will be replaced by your organization’s 3 digit id.

    Validate this with your EverCheck implementation specialist.

    ftpDropOffFolder

    This is a folder where nnn_CustomerEmployee.csv file will be written to on the EverCheck sFTP server.

    By default EverCheck uses the /CustomFile folder for inbound files.

    Validate this with your EverCheck implementation specialist.

    Note that other values set in the AssignGlobalParams Assign action should be left as is, since they are referenced throughout the recipe.

Change the Extract Configuration

In order for the appropriate HCM Extract to be linked to this recipe, it is necessary to update the extract configuration.

  1. In the Integration section of the project workspace in Oracle Integration, click the Oracle HCM Outbound Integration to EverCheck integration.
  2. Click the Invoke element HCMExtract, and select Edit from the menu.
  3. Click Operations and update the integration name. The integration name should be same as the name added in the HCM Extract while configuring the Oracle HCM Cloud instance extract in Oracle HCM Cloud.
  4. Click Done.
  5. Save the changes made in the integration.

Setup Flex Fields within EverCheck

You have to set up the following fields in the EverCheck instance. These fields will be used by the recipe for the successful implementation of your integration.

  • CertificationId
  • ProfileId
  • Employee Residence State
