Applying an advanced study version recalculates forms and visit statuses

Applying an advanced study version change now recalculates forms and visit statuses automatically.

The act of implementing a study change using Advanced Study Versioning (ASV) triggers an asynchronous job to recalculate form and visit statuses for all subjects impacted by the change being applied. This removes the need for users to open a visit to force the system to recalculate the form and visit statuses.

What happens if I open a visit or attempt an RTSM action before the job finishes?

  • If you manually open a visit when the asynchronous job is still in progress, the system updates the visit status (if applicable) after checking whether all required questions are complete or not. Updated visit statuses are reflected on the visit tile.

    Note:

    Opening a visit does not update form statuses on the forms pane. This update is visible only after the job completes.

    Also, any new or updated validation checks are reflected on the questions as a red outline, but these do not reflect on the visit status until the job is complete. Furthermore, any queries raised (by a validation rule) are visible only when the job completes. For more information, see Configure predefined validation rules to raise queries.

    Once the asynchronous job completes, validation failures appear on the visit tile.

  • If a user attempts to complete a Randomization and Trial Supply Management (RTSM) action while the job is still running, the system recalculates the validations to confirm that the RTSM action is allowed. If not, the system will, as expected, block the action. Until the job completes, the visit status and Oracle Clinical One Analytics do not reflect the permitted action.

Does the new asynchronous job recalculate form and visit status for a locked subject?

No, a user must unlock and open the visit where the ASV change was applied in order for the visit and form statuses to be recalculated; the act of unlocking a subject does not trigger a recalculation. This is current system functionality.
