Managing Rooms on Hold

Prerequisites for Hold Rooms

Rooms can be placed "on hold" for a set period (from 1 to 1440 minutes or 24 hours) or for an unlimited time, depending on the HOLD condition code configuration. The HOLD conditions available for selection are determined by the hold tasks assigned to your role(s). While a room is on hold, it cannot be assigned to reservations by other users. When a room is placed on hold by another user, you must have the Room Hold Override user task assigned to your role to remove the room from hold or assign the room to a reservation. When the hold period expires, the room is automatically removed from hold. The room is also automatically removed from hold when you check in a reservation prior to the hold period expiring.

For example, if your property has several guest service agents simultaneously managing reservation room assignments and check ins, it may be difficult to work quickly enough to assign the desired adjoining rooms to four linked reservations that you are currently checking in. To reserve rooms, you can place the four rooms into a hold condition, for three minutes, and then assign those rooms to the reservations . If you have not assigned the rooms within three minutes, they become available to other guest service agents.

Note:

Placing a room on hold does not prevent the room from being placed in Out of Order or Out of Service status.

Placing Rooms on Hold

  1. From the OPERA Cloud menu, select Front Desk, and then select Arrivals.

  2. Enter search criteria and click Search.

  3. Select a reservation in the search result, then click Check In.

  4. Click I Want To. . ., and select Hold Rooms.

  5. Enter search criteria, then click Search.

  6. Select rooms in the search result then click Place on Hold.

  7. The Hold Rooms screen appears.

    1. Hold Reason: Select a hold reason from the list; the number of minutes that the hold will be placed on the rooms is shown in the description.

    2. Remarks: Provide any additional info such as guest name or confirmation number that rooms are being held for.

    3. Click Place on Hold.

Removing Rooms From Hold

You must have the Room Hold Override task assigned to your role(s) to remove a room hold set by other users.

  1. From the OPERA Cloud menu, select Front Desk, and then select Arrivals.

  2. Enter search criteria and click Search.

  3. Select a reservation in the search result, then click Check In.

  4. Click I Want To. . . and select Hold Rooms.

  5. Enter search criteria, then click Search.

  6. Select held rooms in the search result, then click Remove from Hold.
