Using the Simple Function Diary

Use the Function Diary to view the availability of event spaces and view the events scheduled to occur in each space on a selected date / time. The diary displays events by date, function space, and time of day.
The events displayed on the diary are colored coded according to the block status they are linked to. Refer to: Configuring Block Status.
A function space that is out of order or out of service for a period is indicated by an icon in the chart for the respective dates.

Viewing the Function Diary

  1. From the OPERA Cloud menu, select Bookings, select Events, and select Function Diary.

  2. Enter or select the Property, enter a Start date, and enter any other search criteria.

    1. View. Select the number of days to display on the Diary from the list.

    2. Sort By. Select a sort order from the list.

  3. Click Search.

Note:

Click Include Hidden to show function spaces configured not to appear in the Function Diary. Click Legend to view a legend.

Changing Event Label Display

By default, each event displays the Booking Name as the event label that appears in the chart. Other choice include:

  • Booking Name: displays the business block name to which the event is linked.

  • Event Type: displays the type of event that it is.

  • Set Up Style: displays the style of setup to be used for the event.

  • Attendees: displays the number of attendees for the event.

  • Attendees and Setup Style: displays the number of attendees and the setup style for the event.

  • Event Name: displays the name of the event.

To change the event label display:

  1. From the Function Diary, click Modify Search Criteria to open the Search panel.

  2. Click the Event Label list and select an option.

  3. Click Search.

Viewing Guest Room Availability

To view a summary of property availability above the Function Diary, click Show Rooms.

The panel displays a summary of deduct and non-deduct blocks and reservations and the Maximum Available Rooms per date.

Note:

Select a multi-day view to display room availability.

Viewing Function Space Information

  1. From the OPERA Cloud menu, select Bookings, select Events, and select Function Diary.

  2. Select the Property, Start date, and Number of Days to view; enter any other search criteria, and then click Search.

  3. To view the details of a function space, click the Function Space name on the far left of the chart. The details of function space appear across the following three tabs:

    • Overview tab: displays details of the space, the setup styles, and capacities supported per style.

    • Image Gallery tab: displays images of the function space.

    • Dimensions tab: displays the room dimensions in imperial and metric measurements.

Viewing Event Information

  1. From the OPERA Cloud menu, select Bookings, select Events, and then select Function Diary.

  2. Select the Property, Start date, and Number of Days to view; enter any other search criteria, and then click Search.

  3. Hover your mouse over the event in the chart to view the details.
