Enhanced Email Configuration for Communication Templates

This feature enhances the integrity of the sender address used in Permitting and Licensing communication templates. It streamlines agency-specific sender email addresses in Permitting and Licensing generated communications. During communication template configuration, the application now validates that the "From" address used in the communication template, references a valid agency-specific "From" address. 

You now need to provide a valid, secure "From" email address to use in your communication templates. You need to update your email configuration before your upgrade to ensure you don't get errors once this validation begins to run. 

After the upgrade, the validation will run and if you don't run the steps to enable shown below, every time a Communication Template is updated or a new Communication Template is created, you will receive an error. It is important that you complete these steps in advance of the 26B upgrade to avoid any disruption to your business processes.  

This ensures that the "from" address is valid and secure. 

Steps to enable and configure

IMPORTANT! It is recommended that you complete the steps below before the upgrade to 26B. 

To enable this feature: 

  1. Navigate to Setup and Maintenance of Offerings > Offering: Any > Functional Area: Agency Profile > Task: Manage Agencies > Agency page.
  2. Select your agency row. 
  3. Select the Email Configuration tab. 
  4. Select Add
  5. Enter the information in the drawer. The following information is mandatory to appear as the "From" address in the communication template: 
  • Email: Enter a valid email address

  • Description: Provide a short uniquely identifiable description as this will show up as title while selecting a “From" address in communication template.

  • Enabled: ON

  • Address Type: Sender (or) Both

  • Offering: Any

  • Functional Category: Not Applicable

  1. Select Save. 

Tips and considerations

IMPORTANT! It is recommended complete this update in advance well before the 26B upgrade.

On Email configuration page, one record per valid unique email address needs to be entered.

After the upgrade, the validation will run and if you don't run the steps to enable for this feature, every time a Communication Template is updated or a new Communication Template is created you will receive an error. It is important that you complete these steps in advance of the 26B upgrade to avoid any disruption to your business processes.
