Financial Details for ESS Extended

Important:

The Financial Details feature is part of the Employee Self-Service (ESS) feature for Australia available only where it is already provisioned. It is not included with the current SuitePeople WFM solution.

With this feature, your employees can update their financial details. Updates can sync automatically with the payroll system integrated with Workforce Management (WFM).

Employees can view and update the following sections:

Editing Financial Details for ESS Extended

Follow the procedure.

To edit financial details:

  1. Log in to Workforce Management.

  2. To open the right-hand panel, click your user icon.

  3. Click Your Details.

    Your employee profile appears.

  4. Click Financial.

  5. From the upper right corner, click Edit.

  6. Edit your details on the page.

  7. When you're done, click Save and Close.

Bank Details

The Bank Details section shows:

  • Account name

  • Bank State Branch (BSB)

  • Account number

Tax File Number Declaration

The Tax File Number (TFN) declaration can only be completed by staff. This is a requirement from the Australian Taxation Office (ATO) to treat this as a signed copy of the form.

When it has been completed you will be able to view a read-only copy of the form.

The Tax file number declaration form includes:

  • Tax file number

  • Name

  • Previous surname

  • Date of birth

  • Address

  • Employment basis

  • Residency status

  • Tax free threshold claimed

  • Senior or pensioner tax offset claimed

  • Special tax offset claimed

  • Higher Education Contribution Scheme – Higher Education Loan Program (HECS-HELP) and Student Financial Supplement Scheme (SFSS) debt

Note:

If your linked payroll package does not have the ability to lodge the TFN declaration form electronically, you will need to continue using paper forms. For more information about which payroll packages can lodge forms, check page 9 of this document. Otherwise, a paper form is still required.

Editing the TFN Form

Follow the procedure to edit the TFN.

Tax File Numbers are distributed based on an algorithm. WFM uses this same algorithm (provided by the ATO) to identify if a staff member has entered a valid TFN.

All other options on the WFM form mirror the paper TFN declaration form exactly.

Editing the TFN form in WFM:

  1. To go to the page, see Editing Financial Details for ESS Extended.

  2. Answer the questions.

    • What is your tax file number (TFN)? – Enter your TFN or choose from the following:

      • I have made a separate application for a new/existing TFN.

      • I am claiming an exemption because I am under 18 and do not earn enough to pay tax.

      • I am claiming an exemption because I am in receipt of a pension, benefit, or allowance.

      • I choose not to provide my TFN. I am aware I will be taxed at a higher rate.

    • What is your name? – Choose from the following titles. Then, enter your first, last, and other names in the corresponding boxes.

      • Mr.

      • Mrs.

      • Miss

      • Ms.

    • If you have changed your name since you last dealt with the Australian Taxation Office, show your previous family name – If this question applies to you, enter the name before the change.

    • What is your date of birth? – Pick your birth date.

    • What is your home address in Australia? – Enter your home address in the corresponding boxes.

    • On what basis are you employed? – Choose your employment status.

      • Full-time employment

      • Part-time employment

      • Labour hire

      • Superannuation/annuity income stream

      • Casual employment

    • Are you an Australian resident for tax purposes? – Choose your tax residency. To confirm, visit the ATO website.

      • Australian resident for tax purposes

      • Foreign resident for tax purposes

      • Working holiday maker for tax purposes

    • Do you wish to claim the tax-free threshold from this payer? – Choose Yes or No. Only claim the tax-free threshold from one payer at a time, unless your total income from all sources from the financial year will be less than the tax-free threshold.

    • Do you want to claim the seniors and pensioners tax offset by reducing the amount withheld from payments made to you? – Choose Yes or No.

    • Do you want to claim a zone, overseas fores, dependent spouse or dependent (invalid and carer) tax offset by reducing the amount withheld from payments made to you? – Choose Yes or No.

    • Do you have an accumulated Higher Education Loan Program (HELP) debt, or an accumulated Financial Supplement debt?

      • Do you have an accumulated Higher Education Loan Program debt? – Choose Yes or No. Your payer will withhold additional amounts to cover any compulsory repayments that may be raised on your notice of assessment.

      • Do you have an accumulated Financial Supplement debt? – Choose Yes or No.

  3. On the Confirmation section, enter your username and password.

  4. Click Save changes.

Saving your TFN form acts as a digital signature.

Superannuation Fund Details

If a staff member is linked with a compatible payroll system they will see a list of super funds to select from. These will be the funds that exist in the payroll system. They will be able to select other to enter in the details of their fund.

These details include:

  • Fund name

  • Super Product Identifier Number (SPIN)

  • Unique Superannuation Identifier (USI)

  • Account number
