Creating a Specification Context

To create a specification context:

  1. Go to Lists > Accounting > Items.

  2. Click Edit next to the item you want to update.

  3. Click the Quality subtab.

  4. Click Save.

To complete the Assign Specification section:

  1. The Assembly Inventory Item is automatically displayed.

  2. Select the Location where NetSuite transactions should be monitored to potentially trigger an inspection.

  3. Select a Transaction Type you want to monitor.

    If you select Item Receipt or Item Fulfillment, the Parent Transaction field will appear.

  4. To generate an inspection queue, select one or more Parent Transactions.

    For example, you can generate a queue with the inspections from the specification for the Item Receipt transaction from the Purchase Order only.

  5. Select the quality Specification to trigger when this context record matches a monitored transaction.

  6. Select an Action to implement when the specification is triggered.

    For example, Quarantine V2 performs a bin transfer and inventory status change on lots.

  7. Select an inspector name from the Assigned To.

    When you assign an employee, an email notification is sent to them when the inspection queue is created.

    The employee's name also shows up in the Quality Specification Context Assigned To column.

To complete the Apply Specification To section:

  1. To make this the default item fulfillment and location, check the Apply to Default box.

    Check this box if the Transaction Type is one of the following:

    • Receipt From Purchase Order and you want to trigger the item specification regardless of vendor.

      If you check this, any Vendor selected is ignored.

    • Work Order Completion and you want to trigger the item specification at the last manufacturing routing operation.

      If you check this, any Work Center selected is ignored.

    To target inspections by customer, clear this box.

  2. Select a Vendor.

    If the Transaction Type is Receipt From Purchase Order, select one or more vendors.

  3. Select a Customer.

    If the Transaction Type is Receipt From Purchase Order, select a Customer name to filter inspections by the receipt’s purchase order details.

  4. Select a Work Center.

    If the Transaction Type is Work Order Completion, select the work center where production needs to be reported to trigger an inspection.

  5. Enter the SuiteSignOn ID for this context record.

    If you leave this field empty, NetSuite won’t try to pass queue info to an external system.

To complete the Automatically Generate Inspections section:

  1. To complete the Automatically Generate Inspections section and define the number of lot controlled or serialized item inspections, enter a Transaction Frequency.

    The following table shows what happens when you set a specific Transaction Frequency value:

    If you receive an item five times, the trigger creates inspection queue records for receipts 1 and 4.

  2. The Current Transaction Count field value is controlled by logic set by the quality administrator.

  3. In the Custom Form field, select Quality Specification Context or Standard Quality Specification Context.

    The Quality Specification Context form shows the assembly item that should be inspected when it’s built or completed.

  4. If you don’t want this field to show up in search lists and forms, check the Inactive box.

  5. Click Save.
