Work with Files and Folders
To create a new folder, go to the location in the Documents area where you want the folder and tap . Tap
, and then enter a folder name and optional description. You can't use symbols such as / \ ? or * in the name. Tap OK when done.
To mark an item as a favorite, select or open it, tap , and tap Add to
Favorites. You can also mark an item
as a favorite from its properties page by tapping
. To see a list of your favorites, tap the
drop-down menu next to the header on the Documents
page and select
Favorites.
Many of the other actions you might want to perform, like copying or moving files and folders, can be done by tapping or by going to the Properties page of the item. Actions you can perform include the following:
View Properties | View the properties for the item and access other actions you can perform, such a locking, unlocking, or deleting an item. This is also where you can access the version history and review or create links to the item. |
Open With... (files only) | Open the file in another app on your device. |
Open Folder | Open the folder so you can see a list of its contents. |
Favorite | Mark or remove an item as a favorite. To see a list of your favorites, open the drop-down menu next to the header on the Documents page, and select Favorites. |
Preview (files only) | View a file. |
Members | Share an item with others by adding them as members to the folder. |
Share Link | Create a link to a file or folder that you can share with others. |
Send (files only) | Send a copy of a file using an app on your device. |
Sync (files only) | Keep your file copy synchronized with the copy in the cloud. |
Lock/Unlock (files only) | Lock and unlock files. |
Delete | Delete a file or folder. |
Copy | Copy a file or folder to a new location. |
Move | Move a file or folder to a new location. |
Rename | Rename a file or folder. |
Tips
Creating items
- If you're a member of a shared folder, you may not be able to create a subfolder in the shared folder.
Deleting items
- If you want to delete a shared folder or a file in a shared folder, you may not be able to do it if your role doesn't allow it. For example, if you have a Downloader role in a folder, you can't delete files.
- Deleted items are moved to the Trash folder. You can permanently delete or restore the item from there. Items stay in the Trash until one of these events happen:
- You permanently delete them.
- Your Trash quota is reached.
- The Trash is automatically cleared out, according to the interval set by your service administrator, who is the person in charge of managing the service for your organization.
- You restore the item from the Trash.
You can see your Trash folder by going to the Documents page and tapping the menu under the heading. Tap Trash to see what’s there.
Copying items
- If you copy a file to the original location, it's saved with a number after the file name indicating it's a copy. For example, if you already had a file named Status Report.docx, a new copy of it is named Status Report(2).docx.
Locking files
- When you lock a file, other people will know the file is in use. You can check the properties for the file to see who locked it and when.
- Other people can unlock the file if they need to use it. If they do, you get an email telling you who unlocked it and when.
- If someone tries to upload a new version of a file you locked, they can unlock it and upload the new version. You'll be notified by email if that happens.
