Saving Office Documents to Cloud EPM Library Using Smart View

You can save documents to Oracle Fusion Cloud Enterprise Performance Management in the Documents folder or subfolders that you have created.

In Oracle Smart View for Office, you may save Microsoft Office documents (Word, Excel, and PowerPoint files) that are up to 20 MB in size to the Cloud EPM Library. However, there is no size limit for saving Narrative Reporting reports to the Cloud EPM Library. Documents you save in the Cloud EPM Library are accessible to other users with the proper access rights. You can also download saved files from the library.

Before you begin, create any folders you may require. See Creating Folders in the Cloud EPM Platform Library Using the Web Interface or Creating Folders in the Narrative Reporting Library Using Smart View.

To save Office documents to Cloud EPM:

Open an Office application (Word, Excel, or PowerPoint), and connect to a Cloud EPM business process.

If you aren't already connected, you will be prompted to sign in when you use the Save or Save As options.
Perform this step before saving an Office document to Cloud EPM the first time: In the Smart View Panel, navigate to a cube and, from the Action Panel, select Connect.

Alternatively, right-click the cube in the Smart View Panel and select Connect.

Note:

This step only needs to be performed once for each business process to which you plan to save Office documents.
To save the currently-opened Office document to the same folder from which it was opened, click Save in the Smart View ribbon.
Use the Save command after downloading and modifying a file. Clicking Save saves the file back to the same location in the Documents node.
Note:

Consider the following best practices:
- If you have just started a new Office document, you must first perform a Save in the Office application. For example, if you just started a new Word file, save the file using the Save command in Word so that the file is saved locally or in a network location.
  
  Then, when you click Save in the Smart View ribbon, Smart View saves the document with the name with which you saved the file in Office.
- When connected to a Cloud EPM OCI (Gen 2) environment where virus scanning is enabled, if the file you are attempting to save contains a virus, the file will not be saved.
- Narrative Reporting: By default, the Save option saves the Office file to My Library, which is your personal folder. A message alerts you to a successful or failed save; click OK in this message.
  
  Other users will not have access to your My Library folder or the saved file. You can download and work with files saved to My Library. After downloading and modifying a file, click Save to save the file back to the same location in My Library. Use the Save As option to save the file to a folder location accessible to others within the Cloud EPM Library.
To save the currently-opened Office file to the folder you choose in the Cloud EPM Library, click Save As, then specify the settings below, and then click Upload.
- Cloud Connection - Select the library provider connection from the drop-down list.
- Library folder location - Use the Browse button to navigate to the folder to save the file.
- Document name - Enter a name for the file; the name does not need to be the same as the actual file name.
- Description - Enter an optional description for the saved file.
You and other users can download and work with files saved to folders in the Cloud EPM Library. Consider the following best practices:
- After downloading and modifying a file, click Save to save the file back to the same location in the Cloud EPM Library.
- Use the Save As option to save a downloaded file to a different folder location accessible to others within the Cloud EPM Library.
- While saving documents using the Save As option, the file extension is automatically added based on the default file extension of your document. For example, if your local Excel sheet has the old extension format of .xls, the sheet will be saved to the Cloud EPM Library with the same extension.
- To convert a document from an old Microsoft Office format (.xls, .doc, .ppt) to a new format (.xlsx, .docx, .pptx), use the Save As command of the Office application to first save the file locally in the new format, and then upload it to the Cloud EPM Library using the Save As feature of Smart View.
Repeat the previous steps for any other Office documents that you want to save to the Documents folder to a folder you choose in the Cloud EPM Library.
